Assistant Facilities Manager

Description

Capital District Transportation Authority (CDTA), the Regions number one mobility provider, is looking to fill the Assistant Facilities Manager position.  Working at CDTA, you will be a part of a team that provides essential services to the Capital Region. 

Duties and Responsibilities

CDTA is now accepting resumes for the Assistant Facilities Manager in the Facilities Department. This position will report to the Director of Facilities. The Assistant Facilities Manager is responsible for supporting the daily operations of bus facilities and street-level amenities.

General Duties:

  • In collaboration with the Facilities Manager, establish, implement, and manage the preventative maintenance program.
  • Assist the Facilities Manager in managing building personnel and service vendors.
  • Support the Street Amenities Manager in supervising and managing maintenance, cleaning, and installation activities for all street amenities, both in-house and contracted.
  • Serve as acting Facilities Manager or Street Amenities Manager during their absences.
  • Oversee and manage compliance with prevailing wage policy.
  • Manage departmental financial processes, including but not limited to routing workflows to managers, administering the blanket PO program, approving purchase orders, and processing vendor payments.
  • Provide contract administration services, including the distribution and tracking of agreements, maintaining contract documentation, and managing vendor and tenant communications.
  • Maintain the contractor insurance database.
  • Manage the work order database by tracking all service requests, assigning them to the appropriate Facilities Managers, and providing weekly reports to departmental leadership.
  • Administer the shelter maintenance program.
  • Oversee the agency’s facility cleaning operations.
  • Manage and organize all operating documentation (e.g., manuals, as-builts) received from project and facilities managers and maintain a warranty database for all newly installed equipment.

Experience and Education

  • Undergraduate degree or equivalent relevant experience required
  • Proficient in Windows, Excel, and Outlook
  • Versed in contract administration
  • Ability to work in an unsupervised manner prioritizing issues and workload as they arrive.

Compensation

$60,521- $71,414
