Capital District Transportation Authority (CDTA), the Regions number one mobility provider, is looking to fill the Executive Assistant position. Working at CDTA, you will be a part of a team that provides essential services to the Capital Region.
Duties and Responsibilities:
The Executive Assistant works directly with the Chief Executive Officer and Board of Directors, providing support services and ensuring effective communication within the Executive Suite. This position requires an energetic individual to manage multiple priorities and functions, many of which may be confidential in nature. The Executive Assistant will report to and have daily interactions with the Chief Executive Officer, employees, community stakeholders and partners.
General Duties:
- Support the Chief Executive Officer and staff involved in the activities of the executive office.
- Manage sensitive matters with a high level of confidentiality and discretion
- Prepare and organize Board and Committee schedules and agenda materials. Attend Board and Committee meetings; prepare meeting summaries and/or minutes as appropriate.
- Ensure that meeting minutes, notes and board activities are consistent and compliant with company requirements, federal requirements, and Authority Budget Office requirements.
- Maintain Board Member inventory, committee assignment rosters, and monitor the activities of the members in this regard.
- Provide support services to Board Members and serve as the conduit between members and the CEO.
- Develop and maintain detailed listings of company contacts and external relationships along with a strong understanding of their relevance to CDTA business functions.
- Engage in and/or function as a channel for staff and the Chief Executive Officer regarding company projects and activities. Monitor and track developments.
- Serve as the Company Information Officer. Monitor, track, and respond to information requests under the Freedom of Information Law (FOIL).
Experience and Education:
- Associate’s degree and 3-5 years of experience. Bachelor’s Degree preferred.
- Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, and Excel. Must be familiar with presentation/video tools to ensure that technological needs are being met.
- Must have demonstrated ability in supporting functions that include highly confidential information.
- Ability to analyze operating practices to improve efficiency.
- Meticulous and comfortable in a dynamic environment.
- Exceptional communication skills, superior organization skills and dedication to completing projects in a timely manner.
Compensation:
$56,037-$66,124
